As the Office & Facility Manager, you play a crucial role in ensuring the smooth operation of our office space and facilities. You create a functional and convenient workplace for your colleagues, and you feel comfortable with the ad-hoc nature of your role.  

You are responsible for managing all aspects of our office environment, including facilities maintenance, vendor management, and office supplies inventory. Additionally, you oversee administrative tasks and provide support to various departments as needed. 

Please note this is an on-site and part-time position (expected working hours are 20 per week). 
 

What You’ll Do 

  • Ensure the facility is well-maintained anda nice place to work for our colleagues
  • Maintain the relationship with the landlord and all facility-related providers, ensuring any facility issues are addressed promptly
  • Maintain relationships with suppliers, ensuring timely delivery of goods and services
  • Manage office administration (incoming post, redirecting invoices, purchasing office supplies)
  • Oversee asset management procedures, working closely with relevant teams to plan and execute purchases and keep inventory up to date
  • Support employees in travel arrangements (assisting with the use of the travel management tool, organising transfers, etc.)
  • Manage the company fleet, ensuring the proper maintenance and utilisation of company vehicles
  • Coordinate and manage company events (e.g. all-hands meetings), ensuring they are executed smoothly and align with company objectives and culture
  • Provide support to colleagues from different departments, offering assistance and solutions to meet their needs related to office and facility management

What Are We Looking For  

  • 1-2 years of previous working experience in administration, office management, or a similar area
  • Fluency in English (spoken and written)
  • A confident, active driver - this role involves regular use of a company vehicle for acquiring supplies for the office (groceries)
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint)
  • Flexibility with working schedule - you would mostly work from 8/9 to 12/13, but occasionally, due to company events, your schedule would need to adapt
  • Ability to prioritise tasks effectively in a fast-paced environment and to deal with ad hoc requests
  • Excellent communication skills and a service-oriented mindset
